Position Summary
The Executive Administrator serves as a strategic administrative partner to the CEO, COO, and CTO. This role operates as a Chief of Staff–light function, combining high-level executive support with strategic initiative tracking, cross-functional coordination, and operational follow-through. The position requires strong business acumen, exceptional organizational discipline, discretion, and the ability to manage priorities across multiple executives in a dynamic environment.
Key Responsibilities
Executive Support
• Manage complex calendars across CEO, COO, and CTO, ensuring alignment with strategic priorities.
• Coordinate domestic and international travel (up to 50% travel required).
• Prepare executive communications, board materials, leadership presentations, and reporting packages.
• Serve as liaison between executives and internal/external stakeholders.
Strategic & Operational Execution
• Track and monitor strategic initiatives across the executive team.
• Maintain executive dashboards, KPI trackers, and action logs.
• Ensure follow-through on cross-functional action items and executive directives.
• Coordinate quarterly planning sessions, leadership offsites, and executive operating rhythms.
• Partner with department leaders to maintain visibility and accountability on priorities.
Governance & Communication
• Support board meeting logistics, documentation, and materials preparation.
• Draft executive-level communications and internal announcements.
• Maintain strict confidentiality of sensitive business and personnel matters.
• Identify opportunities to improve executive workflow and communication cadence.
Qualifications & Experience
• Bachelor’s degree preferred or equivalent experience.
• 7+ years supporting senior executives, including direct C-level exposure.
• Demonstrated experience tracking strategic initiatives or operating rhythms.
• Exceptional organizational and prioritization skills.
• Strong written and verbal communication skills with executive presence.
• High degree of discretion, professionalism, and business judgment.
• Proficiency in Microsoft 365 or Google Workspace and project tracking tools.
• Ability to operate independently with minimal supervision.

Work Environment & Travel
This position may be remote or hybrid based on business needs. Up to 50% travel may be required to support executive meetings, leadership offsites, strategic planning sessions, and board activities.

This role supports the CEO, COO, and CTO. The Executive Administrator operates as a strategic coordination partner across the executive leadership team.
Physical Requirements
Prolonged periods of sitting at a desk and working on a computer. Ability to travel as required. Must be able to lift up to 15 pounds at times.
